County Clerk Records Versus Court Clerk Records
Robertson County has a useful but important office split. The Circuit Court Clerk manages state court case files for Circuit, Family, District, and Business Court matters. The County Clerk manages county records such as land documents, marriage licenses, recorded instruments, delinquent tax workflows, and local county forms.
| Need | Office | Examples |
|---|---|---|
| Marriage license or certified marriage copy | County Clerk | License application, certified marriage copy by mail or in person. |
| Land or recording record | County Clerk | Deeds, mortgages, liens, plats, powers of attorney, recorded wills. |
| Divorce decree or case order | Circuit Court Clerk | Family Court dissolution documents and final court orders. |
| Probate court case | Circuit Court Clerk | District Court probate petitions, hearings, orders, estate case files. |
| Estate-related recorded instrument | County Clerk | Recorded will, affidavit of descent, deed, release, or power of attorney. |
eCCLIX Online Records
The Robertson County Clerk uses eCCLIX online records, the Internet version of CCLIX, County Clerk Indexing. The county clerk explains that participating Kentucky county clerk offices use eCCLIX for public records archived in county clerk offices. It is especially relevant to attorneys, title search personnel, surveyors, realtors, commercial researchers, and local residents checking county documents.
| User Type | Access Rule | Cost or Limit |
|---|---|---|
| Commercial user | Person or business researching documents | Subscription fee; can add other counties. |
| Private user | Robertson County resident searching for personal reasons with no commercial gain | No fee; Robertson County only; five searches per day. |
| DOC ALERT registrant | Name or business-name monitoring for mortgage or deed filings | Free email alerts using name and email registration. |

| Deed | Deed or condo deed | $50 |

Marriage Licenses and Certified Copies
The County Clerk issues Robertson County marriage licenses. Both parties must apply together and be present. The clerk lists acceptable identification as a driver's license, government issued picture ID, original birth certificate, passport, or Social Security card. The license is valid for 30 days, including the date issued, may be used anywhere in Kentucky, and cannot be used outside Kentucky.
| Marriage Item | Amount or Rule |
|---|---|
| Marriage license fee | $60 |
| Certified copy in person | $5 |
| Certified copy by mail | $6 |
| Waiting period | None listed by the county clerk |
| Blood test or physical | Not required |
For a mail copy request, send written notice to the County Clerk with the names and marriage date details listed on the marriage records page. Divorce decrees are not County Clerk records and should be requested from the Circuit Court Clerk.
County Clerk Forms and Open Records
The County Clerk's records and forms page lists an Open Records Application and Open Records Policy. The research did not expose a direct PDF field inventory, so the page should not be treated as proof of exact form boxes. The same forms area also lists Affidavit, Affidavit of Conversion to Real Estate, Certificate of Assumed Name, Renewal Certificate of Assumed Name, Release of Real Estate Mortgage, and Vendor's Lien Release.
For county-level contact requests, the Robertson County government contact form inventory included company, first name, last name, address, city, state, zip, phone, email, subject, and comments fields. That county web form is not the same as the County Clerk's Open Records Application, but it shows the level of identifying and contact information a requester should expect to provide when asking a county office to respond.
| Form or Record | Use | Source-Supported Note |
|---|---|---|
| Open Records Application | County clerk public-records request | Listed on the County Clerk printable forms page. |
| Open Records Policy | Explains local request policy | Listed on the same page; exact PDF fields not captured. |
| Release of Real Estate Mortgage | Recorded mortgage release workflow | Listed as a clerk form. |
| Certificate of Assumed Name | Business-name filing | Listed as a clerk form. |
Delinquent Taxes, Elections, and Motor Links
The County Clerk website includes sections for Delinquent Taxes, Elections, Land Records, Online Records, Motor, Motor Renewals, Absentee Ballot Information, Additional Information, and contact. Use the County Clerk for delinquent tax certificate and county-record workflows documented on the clerk site, and use the Sheriff or PVA only when the question belongs to property tax collection or assessment rather than clerk recording.
E-Recording Services
The Robertson County Clerk lists several e-recording vendors. These services matter most to frequent recording users such as title companies, attorneys, lenders, and other commercial document submitters.
